Cancellation Policy

At Excovents Exhibitions Private Limited (“we,” “our,” or “us”), we strive to maintain a fair and transparent cancellation process for our events, exhibitors, sponsors, and participants. This Cancellation Policy outlines the terms under which cancellations are permitted and the related procedures.

By registering for our events or services, you agree to comply with the terms outlined in this Cancellation Policy.

1. Cancellation by Participants

a. Event Registration Cancellation

If you need to cancel your registration for an event, the following conditions apply:

  • Cancellation Requests: All cancellation requests must be submitted in writing via email to accounts@excovents.com
  • Cancellation Deadlines: Cancellations made 14 days or more before the event date will be eligible for a full refund, minus any applicable administrative or processing fees.
  • Late Cancellations:Cancellations made less than 14 days before the event date will not be eligible for a refund.
  • No-Shows: Participants who do not show up for the event without prior cancellation will not be eligible for a refund.
b. Substitution Policy

In lieu of cancellation, participants may transfer their registration to another individual within their organization, provided that notice of substitution is given at least 7 days before the event date. Substitutions are subject to approval by Excovents Exhibitions Private Limited.

2. Exhibitor and Sponsor Cancellations

a. Exhibitor and Sponsor Fees

Cancellations by exhibitors and sponsors are subject to the terms outlined in their respective contracts. Refund eligibility depends on the timing of the cancellation:

  • Cancellations made 60 days or more before the event: Eligible for a full refund, minus any administrative or processing fees.
  • Cancellations made between 30-60 days before the event: Eligible for a 50% refund of the total fees paid.
  • Cancellations made less than 30 days before the event: No refund will be provided.
b. Transfer of Exhibition/Sponsorship

Exhibitors and sponsors may transfer their participation to a future event, subject to approval and availability, as an alternative to cancellation. No additional fees will apply for such transfers.

3. Cancellation or Postponement by Excovents Exhibitions Private Limited

a. Event Cancellation

If Excovents Exhibitions Private Limited cancels an event for any reason, registered participants, exhibitors, and sponsors will be notified as soon as possible. The following options will be offered:

  • Full Refund: A full refund of registration fees or participation costs will be provided.
  • Transfer to Future Event:Participants may opt to transfer their registration or participation to a future event organized by Excovents Exhibitions Private Limited without additional costs.
b. Event Postponement

If an event is postponed, participants will have the option to either transfer their registration to the new event date or request a refund. Refund requests must be submitted within 14 days of the postponement announcement to be eligible for a refund.

4. Force Majeure

Excovents Exhibitions Private Limited will not be held liable for any cancellations, delays, or changes due to circumstances beyond our control, such as natural disasters, pandemics, government actions, or other force majeure events. In such cases, we will work to reschedule the event, and participants may either:

  • Transfer their registration to the rescheduled event, or
  • Request a refund, which will be considered on a case-by-case basis depending on the situation.

Include your registration or participation details, event name, and the reason for cancellation. We will confirm your cancellation and eligibility for a refund, if applicable, within 7 business days.

6. Refund Processing

Refunds for eligible cancellations will be processed according to our Refund Policy, and refunds will typically be issued within 3-4 business days after the cancellation is approved. Depending on the payment method, it may take additional time for the refunded amount to reflect in your account.
